Version: 1.0 Location: New Zealand

1. Statement of Intent

At Business Shine Services, we are committed to providing a safe and healthy work environment for all our staff, contractors, and clients. We aim for a zero-harm workplace and believe that health and safety is everyone's responsibility—regardless of job title.

As a small commercial cleaning business based in New Zealand, we fully comply with the Health and Safety at Work Act 2015 (HSWA) and take a practical, people-first approach to managing health and safety risks.

2. Our Health & Safety Commitments

We will:

  • Identify and manage risks in all work areas, especially at client sites.
  • Provide basic health and safety training and safe work instructions.
  • Ensure workers have access to and use the right PPE (Personal Protective Equipment).
  • Encourage early reporting of hazards, incidents, and near misses.
  • Review and improve our safety practices when needed.

3. Responsibilities

Business Owner / Manager

As the Person Conducting a Business or Undertaking (PCBU), the owner will:

  • Take overall responsibility for workplace health and safety.
  • Ensure safe equipment, PPE, and cleaning products are used.
  • Provide induction training to all new staff.
  • Investigate incidents and take steps to prevent recurrence.
  • Keep basic records of training, incidents, and risk assessments.

Employees / Contractors

All team members are expected to:

  • Follow safety procedures and use equipment correctly.
  • Wear required PPE on every job.
  • Report any hazards, injuries, or unsafe conditions immediately.
  • Look out for their own safety and that of others.
  • Participate in basic safety discussions or toolbox meetings.

4. Key Safety Practices

  • Hazard Identification: Hazards at job sites (e.g. wet floors, sharp objects, chemicals) must be identified and controlled.
  • Training: All staff receive induction training and practical guidance on cleaning tasks and safe chemical use.
  • PPE Use: Gloves, masks, footwear, and any other required PPE must be worn as instructed.
  • Manual Handling: Staff are encouraged to lift properly, ask for help, and avoid overexertion.
  • Incident Reporting: All injuries, near misses, or unsafe conditions must be reported to the owner/manager immediately.

5. Health and Safety at Client Sites

  • Staff must follow any additional health and safety rules required by the client.
  • Desks or areas with sensitive documents should not be touched unless clearly instructed.
  • Always be aware of surroundings, especially when working alone or after hours.

6. Consultation and Communication

We maintain a simple, open-door approach to health and safety. Team members are encouraged to raise concerns or suggest improvements at any time. Safety discussions may be informal or part of regular check-ins.

7. Continuous Improvement

This policy and our health and safety practices will be reviewed:

  • At least once per year, and/or
  • After any serious incident or major change in work practices.

Feedback from team members is welcome and encouraged during any review.

8. Policy Application

This policy applies to all Business Shine Services work activities, including cleaning jobs at client premises, and any administrative tasks performed at home or other locations.

Failure to follow this policy or any safety procedures may result in disciplinary action.
